One of the easiest mistakes in ecommerce accounting is recording the net amount deposited into the bank as sales.

TikTok Shop activity can include much more than the final payout.

A seller may have:

  • Gross product sales
  • Discounts and promotional activity
  • Refunds and returns
  • TikTok Shop fees
  • Creator or affiliate commissions
  • Shipping and fulfillment-related activity
  • Adjustments
  • Amounts temporarily held in reserve
  • Other settlement activity

The resulting payout represents the net effect of several transactions.

Recording only the payout as revenue can understate sales, misclassify expenses and distort gross margin.

Accurate TikTok Shop accounting starts with understanding what happened before the payout reached the bank.

TikTok Shop Settlement Reports and Accounting

TikTok Shop provides sellers with financial and settlement information through Seller Center.

That information helps explain the difference between product sales and the cash the seller ultimately receives. However, access to transaction data does not automatically turn it into accurate accounting.

The accounting process needs to identify each component of the settlement and determine how it belongs in the company’s books.

This becomes especially important when TikTok Shop represents only one part of an established ecommerce business.

A company may simultaneously receive sales and payout information from:

  • Amazon
  • Shopify
  • Walmart Marketplace
  • eBay
  • Etsy

Each platform may organize and report its financial activity differently.

The accounting system ultimately needs to bring those different sources together.

Bringing TikTok Shop Activity Into QuickBooks Online

For many of our ecommerce clients, QuickBooks Online (QBO) serves as the primary accounting system.

The objective is not to force every individual TikTok Shop transaction into QuickBooks. Instead, the accounting process should capture the financial activity needed to produce accurate monthly financial statements.

That includes properly accounting for gross sales, refunds, fees, commissions and other relevant TikTok Shop activity.

The exact process used to bring TikTok Shop information into QuickBooks Online will depend on the seller’s systems, transaction volume and available integrations.

Whatever process the business uses, the accounting should reconcile to the underlying TikTok Shop activity and ultimately to the cash received.

TikTok Shop Accounting and Gross Margin

Gross margin is one of the most important measurements for an ecommerce business.

That makes proper classification particularly important when adding TikTok Shop.

Product revenue should reflect product sales. Cost of goods sold should reflect the cost associated with those products. Selling costs and other expenses should not disappear into net revenue simply because TikTok deducted them before issuing a payout.

Otherwise, management can lose visibility into the economics of selling its products.

A company may generate significant TikTok Shop sales while still needing to answer a much more important question:

Are those sales profitable?

Accurate TikTok Shop accounting gives management a better foundation for answering that question.

Tracking TikTok Shop Separately in QuickBooks Online

As ecommerce businesses add sales channels, management may want to see how each part of the business performs.

QuickBooks Online class tracking, or a properly designed chart of accounts, can provide additional visibility into TikTok Shop, Amazon, Shopify and other sales channels.

This separation is generally more important for management reporting than federal income tax reporting. A business does not need an entirely separate income statement simply because it sold a product through TikTok Shop instead of Amazon.

However, the additional information can help management evaluate the new channel.

A seller may want to understand TikTok Shop results after considering platform fees, creator or affiliate commissions, advertising, fulfillment costs, returns and other expenses associated with those sales.

Without that information, management may know that total company revenue increased without knowing whether TikTok Shop improved profitability.

The appropriate reporting structure depends on the business. Some companies may benefit from QBO class tracking. Others may obtain the information they need through separate revenue and expense accounts.

The objective is not to create more accounting detail simply because the data exists. It is to create enough detail to help management make better decisions.

TikTok Shop as Part of a Multichannel Ecommerce Business

For many established sellers, TikTok Shop will not replace Amazon or Shopify.

It becomes another sales channel.

A business that began primarily as an Amazon seller may eventually generate revenue through Amazon, its own Shopify store, TikTok Shop and other marketplaces.

Each channel produces financial information differently, but management still needs one set of financial statements for the company.

That is where multichannel ecommerce accounting becomes increasingly important.

The accounting system needs to combine activity from the different platforms. At the same time, it should maintain enough detail to understand revenue, expenses, inventory, gross margin and overall profitability.

For multistate sellers, maintaining sufficient transaction detail can also help support state income tax sourcing and compliance.
